Trade Clok ("we," "our," or "us") operates the Trade Clok platform available at tradeclok.com and timeclok.app. This Privacy Policy explains how we collect, use, share, and protect your information when you use our services.
When you sign up for Trade Clok, we collect your name, email address, company name, company URL slug, and billing information. This information is used to create and manage your account.
As an administrator, you may add employees to your account. We collect employee names and email addresses for the purpose of sending invitations and account access. Employees may also provide their own profile information upon accepting an invitation.
When employees clock in or out using Trade Clok, we collect GPS coordinates, timestamps, job site associations, and equipment session data. This data is collected only when an employee actively uses the app to clock in or out.
We collect information about how you interact with Trade Clok, including pages visited, features used, and browser/device type. This helps us improve the product.
Employees may optionally upload photos to job entries. These photos are stored securely and are accessible only to administrators within your account.
We use your information to provide, operate, and maintain the Trade Clok platform — including processing clock-ins, generating reports, sending reminders, and exporting payroll data.
We use your email address to send account-related communications, including weekly summary reports, reminder notifications, billing receipts, and product updates. You may opt out of non-essential communications at any time.
We use your billing information to process subscription payments through our payment processor, Stripe. Trade Clok does not store full credit card numbers on our servers.
We use aggregated, anonymized usage data to understand how the product is used and to improve features, performance, and reliability.
Trade Clok does not sell, rent, or trade your personal information or your employees' personal information to third parties for marketing purposes.
We share data with trusted third-party service providers who help us operate Trade Clok, including Stripe (payment processing), cloud hosting providers, and email delivery services. These providers are contractually obligated to protect your data and use it only for the services they provide to us.
We may disclose your information if required to do so by law, court order, or government authority, or if we believe disclosure is necessary to protect the rights, property, or safety of Trade Clok, our users, or the public.
In the event of a merger, acquisition, or sale of Trade Clok, your data may be transferred as part of that transaction. We will notify you via email prior to any such transfer.
We retain your data for as long as your account is active or as needed to provide services. Time entries, job records, and equipment logs are retained for the duration of your subscription.
When you cancel your Trade Clok account, your data is archived for 90 days to allow for potential reactivation. After 90 days, your data is permanently deleted from our systems. You may request immediate deletion by contacting us at [email protected].
We implement industry-standard security measures to protect your data, including encryption in transit (HTTPS/TLS), encrypted storage, and access controls. Only authorized personnel have access to production data.
While we take security seriously, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security, but we are committed to promptly notifying you of any breach that affects your data.
As an administrator using Trade Clok, you are responsible for informing your employees that their location, time, and activity data is being collected through the app. You must obtain any necessary consents required by applicable law in your jurisdiction before deploying Trade Clok to your workforce.
Employees can view their own time entries, job history, and equipment sessions within the app. Employees cannot view other employees' data.
Trade Clok uses cookies and similar technologies to maintain your login session, remember your preferences, and collect usage analytics. We use analytics data solely to improve the product.
You may disable cookies in your browser settings, but doing so may affect the functionality of Trade Clok.
You have the right to access, correct, or update the personal information we hold about you. You can update most information directly within your account settings.
You have the right to request deletion of your personal data. To request deletion, contact us at [email protected].
You may export your time records, job data, and payroll reports at any time using the CSV export feature in the admin dashboard.
Trade Clok is not directed to individuals under the age of 16. We do not knowingly collect personal information from children. If you believe a child has provided us with personal information, please contact us at [email protected] and we will delete it promptly.
We may update this Privacy Policy from time to time. We will notify you of material changes by email or by posting a notice within the app. Your continued use of Trade Clok after changes take effect constitutes acceptance of the updated policy.
